Guidelines
Please understand that being a SSA board member is a serious responsibility and requires much dedication and organization. Board members are expected to attend weekly meetings and complete all necessary tasks within the assigned time. With that being said, it’s also a very rewarding experience for personal and professional development, and of course lots of fun!
Eligibility
§All
candidates for every office must be an OSU-main campus student.
§All
candidates must have registered membership by Second Friday of March.
§All
candidates are required to be an OSU-main campus student for at least one more
year.
§Candidates
for President and Vice President must be sophomores when holding office.
Dates to Remember
March 29th-Last day to become a registered SSA member
March 29th-Last day to nominate someone/yourself. SSA 2013 Elections form due
April 12th-SSA Elections (Lower Level Meeting Room, Ohio Union at 5:30)
Positions
President
The President shall oversee the executive board to make sure the requirements and duties of the constitution are being met.
The President will help the executive board members in fulfilling their duties wherever it is necessary.
The President is the official spokesperson of SSA in meetings, interviews, institutions, and interactions with other organizations within the OSU community and outside.
The President is responsible of conducting all SSA executive board meetings.
The President is responsible for communicating with other student organizations and maintaining a relationship with The Ohio State University Student Government as well as the SSA Advisor.
If conflicts arise it is the Presidents responsibility to ease tension so that the conflicts within SSA or outside do not jeopardize the organization. The President shall lead SSA away from actions that may bring harm to the existence of the organization and help prevent conflicts and find solutions.
The President shall work with Finance to maintain funds for SSA events and be a co-signer on all checks and financial transactions.
The President shall work with those becoming members of the executive board to understand their respective roles and the SSA constitution.
The President shall determine the course of action to take on issues that the SSA constitution does not go into details.
The President shall be in charge of forming an election committee, which shall be addressed under Article V.
Vice President
The Vice President shall fulfill the Presidents responsibilities in his/her absence.
The Vice President shall oversee the Executive Board to make sure the requirements and duties of the constitution are being met.
The Vice President will help the Executive Board members in fulfilling their duties wherever it is necessary.
The Vice President shall coordinate and oversee the weekly general body meetings, thereby creating a quarterly calendar, staying in constant contact with task forces and ad-hoc committees.
Secretary
The Secretary shall take official minutes of all SSA Executive Board meetings with accuracy and sharing the information with the E-Board for review f the E-Board meeting.
The Secretary prepares the Executive Board meeting agenda before the meetings.
The Secretary is responsible of reserving rooms that are necessary for SSA events as well as maintaining communication with the offices and completing paperwork that are necessary. They are responsible for maintaining good working relationships with the offices.
The Secretary shall be in charge of maintaining the organization of the SSA office and keeping it clean.
The Secretary is responsible for keeping a membership binder that holds relevant information regarding SSA members.
The Secretary shall submit a weekly update to the Vice President of all transactions, reservations and any other relevant information.
Treasurer
The treasurer shall maintain all documentation and receipts of funds from SSA accounts as well as maintaining a ledger of transaction.
The treasurer shall maintain a record of the SSA account, documenting transfer of all funds.
The treasurer must be a co-singer on all checks and financial transactions.
The treasurer shall strategically plan the funding of events and guarantee sufficient funds are maintained to properly finance SSA events.
The treasurer is responsible for informing the Executive Board of SSA account information and confirming with the E-Board before releasing funds.
The Treasurer is responsible for providing the E-Board with a balanced account sheet.
The Treasurer shall work with the E-Board members to minimize event expenditure, find alternative funding possibilities or cutting strategies.
The Treasurer shall produce a SSA budget projection before each semester to estimate expenses, a mid-semester analysis to evaluate usage of funds, and an end of the semester comparative analysis of projected versus actual fund utilization.
The Treasurer shall work with the President to resolve emergency funding issues if they arise and will provide the Executive Board with a detailed update of their resolution.
Marketing/Communications Chair
MCC is responsible for publicizing all SSA activities and events by:
Posting event information on the University Calendar, SSA website, and any social networking sites.
Posting fliers around campus.
Sending email announcement to SSA emailing list
Coordinating with OSU Journal to ensure campus news coverage of SSA events and activities.
Informing faculty and staff of SSA events
Composing and distributing press releases for SSA major events.
MCC is responsible for maintaining and utilizing a SSA camera to record activities and events for the yearly scrapbook.
MCC is responsible for coordinating ticket sales for SSA events.
MCC is responsible for maintaining and updating the SSA e-mail list serve.
MCC is expected to collaborate with other board members and devote time to SSA
MCC must perform other duties as directed by the president
Events Chair
Events Chair is responsible for organizing activities for General Body Meetings
Events Chair organizes social, cultural, educational and sporting events for SSA members
Events Chair is responsible for contacting all speakers and performers as necessary
Events Chair must communicate and cooperate with other Events Chair to ensure all tasks are completed
Events Chair is responsible for coordinating fundraisers to generate funds for the organization
Events Chair must perform other duties as directed by the president
Events Chair is expected to collaborate with other board members and devote time to SSA
Outreach Chair
Outreach Chair is the representative of the Somali student body at Ohio State to outside organizations
Outreach Chair is responsible for communicating and keeping a relationship between the Community and SSA
Outreach Chair is expected to collaborate with other board members and devote time to SSA
Outreach Chair is responsible of the Volunteering trips to Horizon Science Academy and Focus.
Outreach Chair must perform other duties as directed by the president
